LibertyCon Code of Conduct and Rules

The Code of Conduct and Rules are to provide guidance to all LibertyCon convention attendees, guests, & staff.
 

It applies to all pre-convention, convention, and post-convention activities related to LibertyCon. All members are encouraged to read this Code and ask questions about anything they do not understand.

 

 

Failure to adhere to the code of conduct may result in:

​

  1. Mediation by the Con Chair and/or Convention Committee (ConCom) speaking to all parties involved in an incident

  2. Verbal warnings

  3. Turning the individual(s) over to hotel/convention center staff or security

  4. Revocation of membership and ejection from LibertyCon

  5. Contact with local law enforcement

HARASSMENT & DISCRIMINATION

 

We ask that you respect others so that everyone is comfortable and feels safe while attending LibertyCon.

​

  1. Harassment of others will not be tolerated and is a violation of the Code of Conduct.

  2. If someone asks you to leave them alone or tells you no, you walk away, and you do not approach them again. There is no reason for you to have any further interaction with them.

  3. Discrimination of any sort is not tolerated and is a violation of the Code of Conduct. Discrimination is not limited to gender, race, ethnicity, age, religion, sexual orientation, gender identity, or physical/mental disability.

  4. If you feel that you have been harassed or discriminated against:

    • Tell the individual that their behavior is inappropriate. Sometimes this is sufficient.​

    • If you do not feel comfortable talking with the individuals involved, or if talking to them once does not work, please immediately report the situation to any LibertyCon committee member. If possible, provide a badge name or name and a physical description of the person or persons involved. The committee member will notify the Con Chair or Head of Security.

  5. PLEASE: Keep in mind unless an incident is reported, nothing can be done. Incidents must be reported in a timely manner during LibertyCon activities.​

BADGES

​

  1. Badges must always be worn in plain sight.

  2. If you lose your badge at the convention, you will have to purchase another badge at the full admission price before being allowed to participate in further convention activities.

AGE RESTRICTIONS

​

  1. All convention attendees who are 17 years of age or younger must be accompanied by a guardian.

  2. Minors under 7 years of age must always be accompanied by a guardian.

  3. A guardian is defined as a person 21 years of age or older who takes financial and legal responsibility for one or more minors and signs for each minor they are responsible for.

 

ATTIRE

​

  1. LibertyCon is a family-friendly convention. Please dress and costume appropriately

​

ALCOHOL

​

  1. Federal law (H.R.4892) does not allow the consumption of alcohol for anyone under 21 years of age. To get a drink, you must produce a valid driver’s license, state ID, or military ID with your picture on it to prove you are at least 21 years of age.

  2. Attempting to drink while under 21 years of age or knowingly serving alcohol to someone under 21 years of age is a violation of the law and this Code of Conduct and could subject you to ejection from LibertyCon.

  3. Minors caught drinking alcohol at LibertyCon will be returned to their guardian and may be removed from the convention.

PUBLIC PARTIES

​

  1. Only certain convention hotel rooms are available for parties and all parties must be coordinated with LibertyCon. If the door is open, it is the expectation the party is available and welcoming to all LibertyCon members. Private parties should keep their door shut to prevent misunderstandings.

  2. Hosts are required to card anyone who wishes to drink at their event. In accordance with the Alcohol section, no one under 21 years of age will be served alcohol.

  3. LibertyCon does not and will not assume any responsibility to check badges for any type of party.

 

HOTEL INTERACTIONS

​

  1. All venue rules are required to be followed by LibertyCon members.

  2. The person whose name the room is rented is solely responsible for the conduct of all individuals in the room and the condition of the room. Excessive trash, any acts of vandalism, deliberate or excessive damage to a hotel room and its contents, or any negative interference with hotel staff which may present a hazard to said hotel staff will result in the hotel taking control of the situation.

  3. Individuals, regardless of whose name the room is rented in, will be billed for said damages by the hotel. In addition, individuals may be evicted from the hotel and/or the convention and may also face criminal charges.

 

SMOKING

​

State law (Tennessee Code 39-17-1803) does not allow smoking in any enclosed public places, including hotels, restaurants, or convention spaces.

 

PETS

​

Pets are not allowed in convention function spaces. Fully trained service animals are always welcome. Contact the hotel for their pet policy.

 

WEAPONS

​

  1. Regardless of any government permits, unless you are a federal or state police officer, no actual weapon or item which can be mistaken for a weapon may be openly carried on properties being used for LibertyCon at any time, unless it has been peace bonded by Convention Operations.

  2. Knives over four inches (10 cm) in length must be peace bonded.

  3. If a member wishes to carry an item defined in rule 1 of this section, it must be presented to LibertyCon Security upon entry to the convention for peace bonding. The Security staff is the final arbiter of what weapons require peace bonding or if a particular weapon is prohibited. If anyone is unsure what is realistic, Convention Security will be happy to review the item and give a determination.

  4. Any actual weapon or item that may be mistaken for a weapon purchased in the Dealer’s Room must be wrapped and immediately transported to a hotel room or vehicle. If the purchaser wishes to use or wear the item during the convention, refer to rule 3 of this section.

  5. Any weapon (actual, realistic, prop, or toy) that is utilized in a threatening or harmful manner is a violation of the Code of Conduct.

  6. Peace bonding is the addition of a tie (plastic, cloth, or nylon) to be placed on an item to make it clear to convention security the item has been reviewed and accepted by Operations staff. For knives and swords, this tie normally prevents the item from being drawn from its sheath or baldric.


PRIVACY, PHOTOGRAPHY, AND ELECTRONIC RECORDING

​

  1. LibertyCon members should be aware that photographs, video, and audio recordings occur during the convention, and their likenesses may appear in these recordings. Attendees and members agree to assign without compensation the use of their likenesses for the use of promotional material.

  2. Members of the press are welcome at all events. All journalists, media photographers, and any other members of the press are required to display an official LibertyCon Press Badge or always be accompanied by a LibertyCon staff member.

  3. Members should be polite and ask before taking photographs or recordings of members and attendees whenever possible. Photography and audio/video recordings for personal archival use are generally acceptable. If an individual makes it clear that they do not wish to be photographed or recorded, doing so may be considered harassment.

  4. The usage of photographic or recording devices is prohibited in certain areas of the convention including but not limited to the Art Show and Charity Auction. Where allowed, please take photographs before or after a program event to avoid distracting panelists and audience members to the maximum extent possible.

SALES OF MERCHANDISE

 

The offering for sale of any merchandise may only occur in designated areas with the permission of LibertyCon.

 

RIGHTS

 

LibertyCon reserves the right to amend the Code of Conduct at any time without prior or posted notice and reserves the sole right of interpretation. The rules stated above are not all-inclusive and involve worst-case scenarios.

Any action or behavior that is illegal, unsafe, or causes significant interference with convention operations, excessive discomfort to members, or adversely affects LibertyCon’s relationship with its guests, the venue, or the public is strictly forbidden.

​

If you are ejected from LibertyCon because of a violation of the convention rules or local, state or federal laws, your attendance fees will not be refunded. LibertyCon reserves the right to revoke membership and eject any individual at any time from LibertyCon. No refunds will be provided.
